iCal Syncing
Luma offers iCal subscriptions that sync your events to external calendar apps like Google Calendar, Apple Calendar, and Outlook. These are live subscriptions — your calendar app periodically fetches the latest data from Luma, so changes are reflected automatically.
This is separate from Luma Calendars, which are used to organize and publish events on Luma. iCal syncing is about getting Luma events into your personal calendar app.
Your Personal Events
You can sync all the events you're involved with on Luma — events you're hosting, attending, or invited to — into your calendar app.
- Go to your Luma Settings page
- Scroll to Calendar Syncing under Third Party Accounts
- Click Add iCal Subscription and choose your calendar app (Google Calendar, Apple Calendar, or Outlook)
What's included:
- Events you're hosting
- Events you've registered for (approved, waitlisted, or pending approval)
- Events you've been invited to
What's excluded:
- Events you've declined
Subscribing to a Luma Calendar
You can also subscribe to a specific Luma Calendar to get all of its events in your calendar app. This is useful for following a community or organization.
- Go to the Luma Calendar's page
- In the sidebar, click Add iCal Subscription
- Choose your calendar app
This feed includes all published events on that calendar.
Subscribing to a City
On Luma Discover pages for cities, you can subscribe to get all upcoming events in a specific location added to your calendar.
- Go to a Discover city page (e.g., lu.ma/sf)
- Click Add iCal Subscription
- Choose your calendar app
This feed includes all upcoming approved events in that city.
How iCal Subscriptions Differ from Email Invites
When you register for an event on Luma, you receive a confirmation email with an attached .ics file. This adds that single event directly to your calendar.
An iCal subscription is different — it's a live feed that your calendar app checks periodically. All your synced events appear as a separate calendar that updates automatically as you register for new events or your RSVP status changes.
You can use both at the same time. The email invites add events individually, while the subscription keeps everything in sync.
Refresh Timing
Your calendar app controls how often it refreshes the iCal subscription. Luma's feed is always up to date, but your calendar app may take time to fetch the latest version:
- Google Calendar: Refreshes roughly every 12–24 hours
- Apple Calendar: Refreshes roughly every 15 minutes to a few hours (configurable in Calendar preferences)
- Outlook: Refreshes roughly every 3–12 hours
If you've just declined or registered for an event and don't see the change yet, your calendar app likely hasn't refreshed the feed. You can force a refresh by removing and re-adding the subscription.
