Customize Invoices / Receipts
If you are selling tickets to your events, you may have customers asking you for some information about your business on their receipts.
Your customers will be able to generate receipts and invoices for all of their payments on Luma.
You can customize those with some information about your business by customizing your Name, Address, and a Memo.
You can set up this information by:
- Go to luma.com/home/calendars and choose a calendar
- Go to the Payment tab on the calendar and scroll down to the “Invoicing” section
If you charge VAT or another tax on your tickets, you can configure the rate and name under the same Payment tab — see Taxes and VAT.
Receipts Attached to Confirmation Emails
Once you’ve set a business name under Invoicing, or if you charge tax on your tickets, guests automatically receive a PDF receipt attached to their registration confirmation email. The same applies when a guest buys additional tickets. For approval-required events, guests are charged when approved, so the receipt is attached to the approval email instead.
The PDF shows your business details, the tax rate and amount if applicable, and the receipt number — the same document guests can download from their payment history.
Sequential Invoice Numbers
Many countries — including the EU, the UK, Norway, Iceland, and India — require invoices to carry numbers from an unbroken sequential series.
If your calendar’s Stripe account is based in one of those countries, Luma numbers your receipts and invoices from a sequential per-calendar series (0001, 0002, …) automatically. The series counts up across all events on the calendar and never resets or reuses a number. Calendars in other countries use a random receipt number instead.
The number is assigned when the payment is made, so documents generated later — by you or by the guest — always show the same number for the same payment.
Generating Documents for a Guest
You can also generate a receipt or invoice on a guest’s behalf:
- On your event page, open the Guests tab and select the guest
- In the Payment section, click the menu next to their payment
- Choose Generate Invoice or Generate Receipt
You’ll be able to fill in the guest’s billing details — like their company name, billing address, and tax information — before printing or saving the document as a PDF.
For your own bookkeeping, you can download a CSV of all transactions from your calendar’s Payment tab under Sales History. It includes one row per transaction with amounts, taxes, and fees.
