Bring independently hosted events together in one calendar and public schedule

Tech weeks bring together events hosted by startups, investors, universities, companies, and community groups. Luma gives each organizer the tools to run their own event while the tech week team curates everything into one branded schedule.

How Tech Weeks Work on Luma

The most common setup uses a Team Calendar as the public home for the tech week:

The tech week team creates a Team Calendar with the program’s name, branding, dates, and description.
Community organizers create and manage their own Luma events.
Organizers submit their events to the tech week Calendar.
Calendar admins review submissions and approve the events that belong in the program.
Approved events appear together on the Calendar’s public schedule, where attendees can browse the list, use the map, and filter by event tags.

This model lets the central team curate the program without creating every event or managing every guest list. Attendees can also follow the Calendar to keep up with new events and newsletters. Learn more about the Luma Calendar experience.

Decide Who Manages Each Event

Every Luma event has one managing calendar. The managing calendar controls the event’s guest list, payments, email branding, and Luma Plus benefits.

Independent organizer with listing access. Each community organizer keeps their event on their own calendar and submits it to the tech week Calendar. The tech week team can approve, organize, and display the event, but listing an event doesn’t give the team access to its guest list or event settings.

Independent organizer with shared management. A tech week Calendar can require organizers to grant manage access when they submit an event. Once the submission is accepted, the tech week Calendar’s admins get full access to the event and its guest list while the organizer’s calendar remains the managing calendar. Payments, email branding, and Luma Plus benefits still come from the managing calendar. Learn more about Collaborating Calendars.

Central ownership model. If the tech week team needs to control payments, email branding, and Luma Plus benefits for every event, create the events on the central Team Calendar. You can add individual organizers as event hosts or managers so they can operate their events.

Choose the model before opening submissions. It determines who owns attendee data, who can send event communications, and what reporting the central team can access.

Build a Clear Public Schedule

Create tags for topics, audiences, formats, neighborhoods, or tracks so attendees can find the right events. A tech week might use tags such as AI, Fundraising, University, Workshop, or Downtown.

Give organizers clear submission requirements for event names, descriptions, cover images, venues, and registration deadlines. Events with complete locations appear on the Calendar’s map, which makes a large citywide schedule easier to explore.

The central Calendar can include Luma events and external events hosted on other platforms. External events have fewer capabilities: they don’t include Luma registration, guest management, check-in, payments, email blasts, or cover images on the Calendar. Plan Reporting and Integrations

Event managers can review Event Insights and download guest lists as CSV files. Calendar admins can also export their Calendar’s people list.

The central tech week team can only access event-level guest data for events it manages. If independent organizers retain management, ask them to share reports or use a consistent integration workflow.

Luma Plus adds the Luma API, Zapier, and webhooks for events managed by the subscribed Calendar. Enterprise organizations can also connect HubSpot or add the Salesforce integration for events managed by their organization’s calendars.

Free. Create unlimited events and guests, run a public Calendar, accept event submissions, and manage the schedule.

Luma Plus. Add higher send limits, more Calendar admins, API and automation access, custom event URLs, and 0% Luma platform fees on paid tickets. See the Luma Plus overview.
